Privacy Notice

This privacy notice tells you how we use information about you.  It explains: 

  • who we are and how to get in touch,  
  • what kinds of information we need and where it comes from  
  • why we need it and what allows us to use your information,  
  • how long we will keep it,  
  • where in the world it is kept,  
  • who (if anyone) we share it with, and  
  • your rights over the use of your personal information.

Who we are and how to get in touch 

We are Flourish, we offer private tutoring, specialist assessment for dyslexia (and other associated conditions) and Davis Programme support.  For more information on the Davis Programme, click here

What kinds of information do we need about you and where does it come from?  

Most of the information we need about you/your child comes direct from you or them during our tutoring/assessment sessions and in the run up to those. Sometimes we may also collect information from their schools, health care providers like your GP or optometrist or others who work to support your child.  We will make sure you understand who we receive information from where appropriate to your child’s needs and the services we provide to you. 

Why we need it and what allows us to use your information? 

The table below shows why we need your information, the kinds of information we will need to deliver those services/carry out our work and what allows us to do that. 

 Information highlighted in bold is more sensitive and needs more care, the rules around how it can be used are very strict.

How long do we keep your information? 

For Tutoring Clients: 

For a period of seven years, Flourish Tutoring will keep an outline record of the client’s name, date of birth, gender, preferred pronouns and services provided including a copy of your contract with us/any necessary consent forms to assist in case of future tutoring and/or support.  This is also a requirement of professional insurance.  End of term tutoring reports are held for one year after your child’s last tutoring session, unless you have requested further support.   

For Dyslexia Diagnostic Assessment Clients: 

For a period of seven years (or up to the age of 25, if the diagnostic report was written about a child), Flourish Tutoring will keep a copy of the diagnostic report and the record page of each assessment.   We will also maintain a copy of any contract for services/necessary consent forms.  This is a requirement of professional insurance.  

Once the report has been approved, documentation which contributed to the decisions outlined within it, i.e. background information (from client, parents and school), visual difficulties questionnaire, and assessments (except its record page) will be securely destroyed.  Please note, audio recordings will be deleted as soon as the assessment scores have been double-checked and substantiated by the assessor which is usually done within a calendar month of the assessment completion.   

For Davis® Programme Clients: 

For a period of seven years, Flourish Tutoring will keep a record of the client’s name, date of birth, gender, preferred pronouns and an outline of the programme content, to assist in case of future programmes.  This is also a requirement of professional insurance. 

Where is your information stored? 

All data held by Flourish Tutoring is kept in the UK or EU/EEA.  We keep our records securely online in cloud storage.  We have contracts in place with our software suppliers to ensure that they keep it safe for us. 

Who do we share information with? 

We may share information (with your consent) with: 

  • Your child’s school, pupil referral units (PRU’s) or Education Otherwise at School Centres (EOTAS) as appropriate to your needs. 
  • Your child’s specialist teacher and others who work to support your child like speech and language therapists and peripatetic workers. 
  • The Davis Programme/Dyslexia Association for evidence of professional development (semi anonymised versions only). 

In some circumstances we may share information with organisations for safeguarding purposes. 

  • In cases where a claim is made against us, we may share information with our insurers or solicitors to support us through that process, where we are permitted to do so by law. 

Socials and connecting online 

If you chose to communicate with us via social media (Facebook/Messenger/WhatsApp, Twitter/XInstagram) please be aware that your data will also be held and used by the social media provider.  You should ensure you read their privacy notices carefully and agree to their terms and conditions before you contact me in this way.  We will not ask you for sensitive information this way and would strongly recommend you communicate with us using the contact information at the top of this notice. 

Your rights

  • Your right of access – You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. There are some exemptions which means you may not receive all the information you ask for. Read more about the right of access
  • Your right to rectification - You have the right to ask us to correct or delete personal information you think is inaccurate or incomplete.

If you make a request, we must respond to you without undue delay and in any event within one month unless we determine that your request is complex, when we may extend the timescale by up to a further two months.   

Don’t worry if we decide we need to do this we will let you know as soon as we can and always within the first month and we’ll do our best to explain why.

How to complain 

If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice. 

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
